Job Description

We are seeking a professional and personable Receptionist to manage the front desk and perform a variety of administrative tasks in our dynamic and fast-paced environment. As the first point of contact for our company, you will be crucial in setting the tone for client interactions. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as needed.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Maintain office security by following safety procedures and controlling access.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain company calendars and schedule appointments as necessary.
  • Perform basic bookkeeping, filing, and clerical duties accurately.
  • Assist with planning and executing company events and meetings.
  • Update appointment calendars and schedule meetings and appointments.
  • Coordinate with the internal team to ensure visitor and employee needs are met.
  • Offer administrative support across the organization when necessary.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and basic computer skills required.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Strong written and verbal communication skills are necessary.
  • Ability to be resourceful and proactive when issues arise unexpectedly.
  • Excellent organizational skills with a strong attention to detail.
  • High school degree; additional certification in Office Management is a plus.
