Responsibilities

  • Greet visitors warmly and make sure they are comfortable while waiting.
  • Manage the multi-line phone system and direct calls to appropriate staff.
  • Maintain the reception area ensuring it is tidy and welcoming at all times.
  • Handle inquiries in person, via email, and over the phone efficiently.
  • Schedule and coordinate appointments and meetings for the office management.
  • Assist with administrative tasks, such as data entry and filing documents.
  • Accept deliveries, packages, and distribute them to appropriate departments.
  • Maintain company’s contact and visitor logs records accurately.
  • Provide necessary clerical support to staff and management as required.
  • Ensure all confidential information is kept secure and handled appropriately.
  • Support event planning efforts by arranging logistics and managing RSVPs.
  • Maintain office supplies inventory, alerting management when stock is low.

Requirements

  • Proven experience as a Receptionist or in a similar customer service role.
  • Exceptional verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multi-task efficiently.
  • Proficient in using office software like Microsoft Office and phone systems.
  • Professional attitude and appearance are required at all times.
  • Ability to be resourceful and proactive in problem-solving situations.
  • Minimum high school diploma; additional qualifications are a plus.
