Job Description

Responsibilities

  • Greet visitors warmly and ensure a pleasant experience from arrival.
  • Answer and direct phone calls promptly and courteously to appropriate departments.
  • Maintain an organized and tidy reception area to uphold company standards.
  • Handle appointments scheduling, confirmations, and rescheduling as necessary.
  • Assist clients with inquiries and provide them with necessary information and assistance.
  • Receive and distribute daily mail and deliveries efficiently to the correct recipients.
  • Coordinate office supplies, ensuring adequate stock levels and placing orders when needed.
  • Maintain and update company’s contact database with current and accurate information.
  • Support administrative tasks by managing documents and compiling reports as requested.
  • Prepare meeting rooms for scheduled appointments and corporate meetings efficiently.
  • Collaborate with security personnel to facilitate visitor access and badges issuance.
  • Communicate effectively with team members to optimize the day-to-day operations.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Proven experience as a receptionist or in a similar customer service role.
  • Exceptional verbal and written communication skills for clear interaction.
  • Ability to handle multiple tasks while maintaining attention to detail efficiently.
  • Proficient in Microsoft Office Suite and familiarity with office equipment.
  • Strong organizational skills with a customer service-oriented mindset.
  • Professional appearance and attitude with a dedication to superior service.
