Job Description

As a Receptionist at our company, you'll be the first point of contact for our clients, visitors, and team. Your role is integral to creating a friendly, approachable, and professional impression of our organization. You'll be responsible for handling all front-desk activities, including greeting guests, answering inquiries, managing phone calls, and maintaining the reception area. As the face of our company, you'll demonstrate excellent communication skills, a high degree of professionalism, and unwavering patience. You will manage various administrative tasks and support the smooth operation of the office with efficiency and grace. Responsibilities

  • Welcome and greet all visitors in a friendly and professional manner.
  • Answer, screen, and forward incoming phone calls promptly and efficiently.
  • Maintain a tidy and presentable reception area at all times.
  • Manage the schedule and appointments for conference rooms and meeting areas.
  • Assist in company events and meetings by coordinating logistics and materials.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Assist with administrative tasks such as data entry, filing, and photocopying.
  • Ensure all office and pantry supplies are ordered and stocked regularly.
  • Keep updated records of office expenses and costs as required.
  • Address client inquiries and direct them to the appropriate person or department.
  • Respond to emails and messages in a timely and courteous manner.
  • Coordinate with the building management for maintenance requests or issues.

Requirements

  • Proven work experience as a Receptionist or similar role is preferred.
  • Strong verbal and written communication skills are essential for interaction.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to work independently and handle multiple tasks efficiently.
  • Exceptional organizational skills and attention to detail are required.
  • Professional appearance and demeanor, with a customer-oriented mindset.
  • High school diploma; additional qualification as an Administrative Assistant is a plus.
