Job Description

As a Real Estate Office Administrator, you will play a pivotal role in ensuring the smooth operation of our dynamic real estate office. You will be responsible for managing day-to-day administrative tasks, supporting real estate agents, and ensuring the efficient operations of the office. Your role is crucial to maintaining a professional and welcoming office environment while liaising with clients, agents, and third-party service providers. You'll manage scheduling, support marketing efforts, and handle communications with clients and internally among the team. You will bring your organizational skills, attention to detail, and customer service mindset to a fast-paced and rewarding work setting, becoming a vital contributor to the success of our team.


Responsibilities

  • Coordinate office activities and operations to ensure efficiency and compliance to company policies.
  • Oversee timely completion and submission of documentation and necessary paperwork by all staff.
  • Act as a point of contact for agents and serve as a liaison between team members.
  • Organize and schedule appointments, board meetings, and property showings effectively.
  • Develop and maintain a filing system both in a physical and digital capacity.
  • Assist in the preparation of regularly scheduled reports and internal communications.
  • Manage communication including emails, phone calls, and prospective client inquiries professionally.
  • Increase operational efficiency by analyzing and optimizing office processes.
  • Collaborate with real estate agents and brokers on marketing efforts and material preparation.
  • Ensure office assets and equipment are well-maintained and replenish stock necessities as needed.
  • Provide excellent customer service to clients and uphold confidentiality agreements.
  • Coordinate broker tours, open houses, and other events as required by management.

Requirements

  • Proven experience as an Office Administrator, preferably in the real estate industry.
  • Proficiency in office software including MS Office Suite and real estate databases.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent written and verbal communication skills in a professional environment.
  • Demonstrated ability to work independently and prioritize effectively.
  • Strong interpersonal skills and ability to interact effectively with diverse clients.
  • Associates or Bachelor's degree in Business Administration or related field preferred.
