The Real Estate Admin & Listings Specialist is a crucial member of a real estate team, ensuring seamless operations within the property listings and administrative domains. This role demands efficient handling of real estate databases and listings management, maintaining up-to-date property information, coordinating with agents and clients, and assisting in various administrative functions. Responsibilities

  • Prepare and maintain property listings, ensuring accurate and timely data entry.
  • Collaborate closely with real estate agents to facilitate seamless transaction workflows.
  • Coordinate property showings and manage schedule appointments with clients and agents.
  • Assist in drafting and reviewing documentations, ensuring compliance with real estate regulations.
  • Manage and update multiple real estate databases and customer relationship management systems.
  • Provide administrative support by handling phone calls, emails, and internal communication tasks.
  • Organize and manage electronic and physical filing systems for ease of access and retrieval.
  • Act as a liaison among clients, agents, and other real estate professionals for seamless coordination.
  • Maintain the confidentiality of sensitive client and transaction information at all times.
  • Support marketing initiatives by ensuring listings have quality photographs and accurate descriptions.
  • Prepare status reports and track key performance indicators for ongoing real estate projects.
  • Facilitate agent onboarding by organizing training schedules and providing technical support.

Requirements

  • Minimum of 2 years of experience in real estate administration or related field.
  • Proficiency in real estate management software and Microsoft Office Suite tools.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Excellent communication skills with a professional demeanor both in-person and in writing.
  • High attention to detail and commitment to providing accurate and timely information.
  • Ability to maintain composure and prioritize under high-pressure situations effectively.
  • Experience with customer relationship management systems considered an advantage.
