The Real Estate Admin & Listings Specialist is a pivotal role within the real estate industry, integral to the operations of any successful real estate team. The specialist is responsible for managing the entire lifecycle of property listings, from initial entry through to closing, ensuring that all data is accurately represented across various platforms and marketing channels. This role also demands a proactive approach to administrative tasks, supporting real estate agents with the preparation of necessary documents, coordinating appointments, and maintaining the overall smooth running of office activities. As a Real Estate Admin & Listings Specialist, you will play a crucial role in enhancing the client experience and reinforcing the company’s reputation in the competitive real estate market.


Responsibilities

  • Coordinate and manage all listings data across multiple real estate platforms.
  • Prepare and review real estate documents, contracts, and forms efficiently.
  • Ensure accuracy and timeliness in uploading property details and images online.
  • Act as a liaison between property owners, clients, and real estate agents consistently.
  • Schedule and confirm appointments, home viewings, and open house events.
  • Provide administrative support to the real estate team as needed.
  • Maintain confidentiality of all sensitive client and company information securely.
  • Assist in preparing advertising and marketing materials for property listings.
  • Handle incoming inquiries and direct them to the appropriate personnel effectively.
  • Update and maintain customer relationship management databases accurately.
  • Conduct market research to provide insights into property trends and pricing.
  • Create reports and presentations for team meetings and client consultations.

Requirements

  • Proven experience in real estate administration or as a listings specialist desired.
  • Strong organizational skills with the ability to multitask efficiently essential.
  • Excellent verbal and written communication skills for client interactions required.
  • Familiarity with customer relationship management and database systems preferred.
  • Proficiency in Microsoft Office Suite and real estate software applications necessary.
