Job Description

The Real Estate Admin is a crucial part of any real estate team, providing essential support and organizational expertise to ensure the seamless operation of the business. The Real Estate Admin is responsible for a wide range of tasks, including managing communications, coordinating appointments, maintaining records, and supporting the marketing efforts of real estate agents. A successful Real Estate Admin contributes to the efficiency and effectiveness of the real estate team, helping to drive sales and maintain positive client relationships.


Responsibilities

  • Manage and respond to daily communications from clients and partners promptly.
  • Schedule and coordinate property showings, meetings, and appointments efficiently.
  • Maintain comprehensive filing systems for property listings, client records, and transactions.
  • Prepare and distribute marketing materials, such as flyers and online ads, for properties.
  • Assist real estate agents with contract preparation and document management tasks.
  • Maintain and update listings databases to ensure accurate and current information.
  • Organize and attend team meetings, taking minutes and tracking action items diligently.
  • Coordinate events and open houses, including logistics, promotion, and follow-up activities.
  • Handle office administrative tasks, including supply management and equipment maintenance.
  • Act as a point of contact for inquiries and provide excellent customer service to clients.
  • Conduct market research and analysis to support real estate sales strategies and decisions.
  • Maintain a positive work environment and promote teamwork and collaboration within the team.

Requirements

  • Previous administrative experience in a real estate setting is highly preferred.
  • Proficiency in Microsoft Office Suite and real estate software applications.
  • Excellent verbal and written communication skills are essential for this role.
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • High degree of professionalism and confidentiality in handling sensitive information.
  • Strong attention to detail and accuracy in all work responsibilities.
  • Ability to work independently with minimal supervision and as part of a team.
