1. JOB PURPOSE
The Fit-Out Project Manager is responsible for the overall planning, management, coordination, execution, and successful completion of high-end luxury villa fit-out.
The role requires strong technical, commercial, leadership, and project management capabilities, with particular emphasis on delivering luxury projects to the highest standards of quality, workmanship, safety, cost control, and schedule.
The Project Manager will manage the project from mobilization through completion and handover, ensuring effective coordination between the client, consultants, subcontractors, suppliers, site teams, and internal departments.
2. KEY RESPONSIBILITIES
A. Project Management
Take full responsibility for the successful delivery of assigned luxury villa fit-out projects.
Manage projects through execution, testing, commissioning, snagging, and final handover.
Develop and implement project execution plans, programs, schedules, and resource requirements.
Ensure projects are delivered within the approved budget, agreed timeframe, and required quality standards.
Monitor project progress against approved programs and take corrective action where required.
Establish priorities and coordinate multiple trades and activities to maintain project progress.
Conduct regular site and project progress meetings and ensure timely closure of action items.
B. Luxury Villa Fit-Out & Construction
Manage high-end interior fit-out works including architectural finishes, joinery, flooring, ceilings, wall finishes, decorative works, kitchens, wardrobes, doors, sanitary fittings, and other luxury finishes.
Coordinate MEP works including HVAC, electrical, plumbing, lighting, home automation, low-current systems, and specialist services.
Ensure all works are executed in accordance with approved drawings, specifications, method statements, and project requirements.
Maintain a high level of attention to detail appropriate for luxury residential projects.
Coordinate specialist suppliers, designers, subcontractors, and manufacturers.
Review and approve shop drawings, material samples, mock-ups, method statements, and technical submissions as applicable.
Ensure proper coordination between architectural, structural, MEP, joinery, and specialist works.
C. Client & Consultant Management
Act as the primary point of contact for the client and consultant on project-related matters.
Maintain professional relationships with clients, consultants, architects, designers, and other stakeholders.
Attend client and consultant meetings and provide professional project updates.
Address technical, commercial, and construction-related issues promptly.
Manage client comments, variations, instructions, and requests while protecting the company's contractual position.
Ensure all client and consultant requirements are properly documented and communicated to the project team.
D. Planning & Scheduling
Prepare and maintain detailed project schedules in coordination with the planning team.
Monitor critical path activities and identify potential delays at an early stage.
Develop recovery plans and mitigation measures where projects fall behind schedule.
Coordinate procurement schedules with project requirements.
Ensure long-lead materials and specialist items are identified and ordered in sufficient time.
Coordinate manpower, materials, equipment, and subcontractor requirements according to the project program.
E. Commercial & Cost Control
Monitor project costs and ensure expenditure remains within the approved budget.
Coordinate closely with the Quantity Surveyor / Commercial Manager regarding project financial performance.
Review variations, additional works, claims, and client instructions.
Ensure variations are properly documented, priced, submitted, and followed up for approval.
Monitor subcontractor performance and commercial commitments.
Identify opportunities to minimize unnecessary costs without compromising quality.
Support project forecasting, cash flow planning, and cost-to-complete assessments.
F. Quality Control
Ensure all works comply with approved specifications, drawings, standards, and luxury finishing requirements.
Establish and maintain high-quality workmanship standards across the project.
Review inspection requests, material approvals, mock-ups, samples, and quality documentation.
Ensure defects and non-conformance issues are identified and rectified promptly.
Conduct regular quality inspections with the QA/QC team.
Ensure final finishes meet the expectations of high-end residential clients.
G. Health, Safety & Environmental Compliance
Ensure strict compliance with health and safety regulations and company HSE policies.
H. Procurement & Subcontractor Coordination
Coordinate with procurement teams to ensure timely availability of project materials and equipment.
Review technical requirements for materials and specialist products.
Coordinate and monitor subcontractors and specialist contractors.
Evaluate subcontractor performance in terms of quality, schedule, manpower, and compliance.
Ensure subcontractors comply with project drawings, specifications, safety requirements, and approved programs.
Coordinate delivery, storage, protection, and installation of high-value finishing materials.
I. Team Leadership
Lead and manage project engineers, site engineers, supervisors, foremen, coordinators, and other project personnel.
Allocate responsibilities and establish clear objectives for the project team.
Monitor employee and subcontractor performance.
Conduct regular coordination meetings with the site team.
Provide technical and managerial guidance to team members.
Promote teamwork, accountability, discipline, and professional conduct.
J. Documentation & Reporting
Ensure accurate and timely project documentation.
Review daily, weekly, and monthly project reports.
Monitor project KPIs and provide management with regular progress updates.
Maintain records of drawings, RFIs, approvals, inspections, variations, instructions, and correspondence.
Ensure proper documentation for project handover and close-out.
Prepare management reports highlighting project progress, risks, delays, commercial matters, and required decisions.
K. Testing, Snagging & Handover
Coordinate testing and commissioning activities with relevant teams.
Manage the snagging and de-snagging process.
Ensure all outstanding works and defects are completed prior to handover.
Coordinate preparation of as-built drawings, operation and maintenance manuals, warranties, and other handover documentation.
Lead the final project handover process to the client.
Ensure successful project close-out within the required timeframe.
3. REQUIRED QUALIFICATIONS
Bachelor's Degree in Civil Engineering, Architectural Engineering, Construction Management, or a related field.
Minimum 7 years of relevant professional experience in the region.
Proven experience as a Project Manager / Senior Project Manager in fit-out and/or luxury residential construction.
Strong experience in luxury villas, high-end residential projects, private residences, or premium fit-out projects.
Professional qualifications or certifications in project management, such as PMP, are an advantage.
Strong knowledge of local construction practices, regulations, authority requirements, and HSE standards.
4. REQUIRED EXPERIENCE
The ideal candidate should have demonstrated experience in:
Luxury villa construction and fit-out.
High-end interior finishing.
Residential construction projects.
MEP coordination.
Joinery and bespoke architectural finishes.
Marble, stone, timber, metal, glass, and other premium finishes.
High-end kitchens, wardrobes, doors, and decorative works.
Home automation and specialist systems.
Managing subcontractors and specialist contractors.
Client and consultant coordination.
Project planning, scheduling, and cost control.
Project handover and close-out.
5. TECHNICAL SKILLS
Strong knowledge of construction and fit-out methodologies.
Excellent understanding of architectural and MEP drawings.
Ability to read and interpret technical drawings, specifications, and BOQs.
Strong knowledge of project planning and scheduling.
Proficiency in MS Project and/or Primavera P6.
Good knowledge of AutoCAD; knowledge of BIM/Revit is an advantage.
Strong understanding of project cost control and commercial management.
Ability to review technical submittals and shop drawings.
Strong knowledge of QA/QC procedures.
Good understanding of regional building regulations and construction standards.
8. KEY PERFORMANCE INDICATORS (KPIs)
