Job Description

A Project Administrator plays a crucial role in ensuring the smooth execution of projects by supporting project managers and teams throughout the lifecycle of the project. They are responsible for maintaining project documentation, tracking progress, and ensuring that all team members are aligned with the project's goals and timelines. Their work is vital for keeping projects on track, ensuring all deliverables are completed on time, and meeting quality standards. Project Administrators act as the backbone of the project management team, facilitating communication and coordination among the project stakeholders, which often includes clients, team members, vendors, and other partners. They must be organized, detail-oriented, and possess strong communication skills to handle the diverse range of tasks they are responsible for.


Responsibilities

  • Coordinate project activities and resources to ensure smooth project execution.
  • Maintain comprehensive project documentation and update necessary records regularly.
  • Assist in schedule management by monitoring project timelines and deadlines.
  • Facilitate effective communication among project teams, stakeholders, and clients.
  • Prepare and distribute meeting agendas, minutes, and other relevant documents.
  • Track project deliverables and ensure they are completed on time and within scope.
  • Manage project budgets and expenditures, ensuring cost efficiency and accountability.
  • Support the risk management process by identifying potential project risks and issues.
  • Assist in onboarding new project team members and other stakeholders as necessary.
  • Monitor and report on project progress and updates to senior management.
  • Coordinate with vendors, suppliers, and other external entities involved in the project.
  • Handle administrative tasks such as data entry, file organization, and correspondence.

Requirements

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Proven experience as a Project Administrator or in a similar administrative role.
  • Strong organizational skills with great attention to detail and accuracy.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Proficient in project management software tools like Microsoft Project or Asana.
  • Ability to manage multiple tasks and projects simultaneously under tight deadlines.
  • Experience in budget management and financial tracking of project expenditures.
