Responsibilities

  • Manage the executive's day-to-day schedule, including appointments, meetings, and travel arrangements.
  • Coordinate and prepare agendas, briefing materials, and notes for meetings.
  • Handle incoming communications, such as emails and phone calls, with discretion.
  • Organize internal and external events, ensuring all details are covered seamlessly.
  • Maintain and organize confidential files and documents for easy accessibility.
  • Assist in managing projects by conducting research and preparing reports as needed.
  • Act as a liaison between the executive and other team members or external contacts.
  • Ensure the executive is prepared for all meetings with the necessary documents and information.
  • Monitor and manage incoming tasks, ensuring priority items are addressed promptly.
  • Perform general administrative tasks such as filing, scanning, and managing office supplies.
  • Facilitate effective communication within the executive's team and stakeholders.
  • Provide backup support to other team members as required.

Requirements

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong written and verbal communication skills are essential for this role.
  • Exceptional organizational and multitasking abilities to handle diverse tasks effectively.
  • Proficiency in using office software such as Microsoft Office Suite and Google Workspace.
  • Ability to work independently and handle confidential information with discretion.
  • Strong problem-solving skills and the ability to adapt quickly to changing circumstances.
