We are seeking a highly organized and dedicated Office Assistant to join our growing team. Responsibilities

  • Answer and direct phone calls to the appropriate staff members or departments.
  • Maintain office records, ensuring accuracy and proper documentation for future reference.
  • Coordinate and schedule meetings, appointments, and travel arrangements as necessary.
  • Assist in the preparation and processing of reports, memos, and other documents.
  • Perform clerical duties such as photocopying, scanning, and mailing correspondences.
  • Manage inventory of office supplies and place orders when necessary to prevent shortages.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Maintain cleanliness and organization of shared office areas and workspaces.
  • Support staff with various administrative tasks to improve department workflow.
  • Ensure that office equipment, such as copiers and printers, are functioning properly.
  • Handle client inquiries through email, phone, or face-to-face meetings professionally.
  • Assist with the organization of company events, large meetings, or conferences.

Requirements

  • Proven experience as an office assistant, or in a relevant administrative role.
  • Excellent verbal and written communication skills required for effective interaction.
  • Strong organizational skills with the ability to multi-task efficiently under pressure.
  • Proficiency in using office software such as MS Office (Excel and Word).
  • Familiarity with office machines (e.g., fax, printer, copier) is necessary.
  • Detail-oriented mindset with an ability to perform tasks accurately and efficiently.
  • High school degree required; additional qualifications in office administration preferred.
