Wood is currently recruiting for an experienced Lead Document Controlleras part of our Engineering team within our Oil, Gas & New Energies business based in Abu Dhabi, United Arab Emirates.

Due to the nature of the projects and client expectation, the position will be based full time at our Engineering Center Office in Abu Dhabi, United Arab Emirates.

Objective

RESPONSIBILITIES

Own the end-to-end document-control function—including engineering and vendor records—for an Abu Dhabi EPC megaproject exceeding USD 1 billion. Lead and mentor a team of document controllers; specify Fusion Live requirements for the system administrator and administer client-side Aconex. Ensure every document is registered, quality-checked, distributed, reviewed, approved and archived in full compliance with project, client and regulatory standards, while upskilling internal staff, vendors and third parties through training.

Team Leadership

  • Manage, coach, and develop 7-12 document controllers; set daily workloads and conduct performance reviews

Training & Capability Building

  • Design and deliver hands-on training for project personnel on Fusion Live search/upload, workflow use, and metadata standards.
  • Provide vendor-facing Aconex training covering SDR submission rules, transmittals, and comment resolution.
  • Publish quick-reference guides and video walk-throughs; track training attendance and effectiveness.

Vendor DM

  • Own engineering document workflows: maintain distribution matrices, track IDC cycles, and secure timely approvals.
  • Oversee vendor DM: coordinate with Procurement, enforce SDR compliance, and shepherd supplier data through client review.

EDMS Governance

  • Capture metadata, workflow, and distribution requirements; pass them to the Fusion Live administrator for build-out.
  • Coordinate user-acceptance testing; verify Fusion Live (internal) and Aconex (client) configurations meet project needs.

Reporting & KPIs

  • Produce weekly dashboards—submissions, overdue actions, client comments, dossier progress—and ad-hoc exception reports.

Records and Close Out

  • Define and execute the archiving plan (hard-copy & electronic); compile “as-built” / MRB dossiers for hand-over.

Procedure And Compliance

  • Own Document Control Procedures and Work Instructions; align with Wood standards, ADNOC guidelines, ISO 9001, and project-specific requirements.

Expected

  • Secondary Education minimum; technical Diploma or equivalent desirable.
  • Minimum 8 + years in document control, incl. 3 + years leading a team.
  • Full life-cycle involvement on at least one >$1 billion EPC project.
  • Fusion Live (internal) and client-side Aconex. (Preferred)
  • Proven record of developing and delivering user/vendor training

Systems & Skills

  • Advanced MS Office & Adobe Acrobat.
  • Proficiency in at least one additional EDMS
  • Confident presenter and trainer with excellent English communication.
