Job Description

We are seeking a dedicated and organized Junior Secretary (24J25) to join our team. The ideal candidate will be responsible for providing administrative support to ensure the efficient operation of our office. You will support managers and employees through a variety of tasks related to organization and communication. The ability to effectively manage time and multitask in a high-pressure environment is a must. Strong communication skills are crucial as you will be the point of contact between our company and external parties. Responsibilities

  • Manage and maintain executive schedules, appointments, and travel arrangements efficiently.
  • Coordinate and organize meetings, conferences, and teleconferences as required.
  • Prepare correspondence, reports, and materials for publication and presentations.
  • Assist in the preparation of reports and manage data using office software applications.
  • Handle all incoming calls, emails, and messages with professionalism and discretion.
  • Support other administrative staff with daily clerical tasks ensuring business flow.
  • Maintain office supplies inventory and place orders as necessary to ensure smooth operations.
  • Offer administrative support in organizing company events and activities as assigned.
  • Develop and maintain a filing system to ensure the accuracy and privacy of records.
  • Process and follow up on purchase orders and invoices promptly and accurately.
  • Assist in tracking and communication of company decisions and policies to staff.
  • Manage office communications, including memos, notices, and announcements effectively.

Requirements

  • High school diploma or equivalent required; an associate degree preferred.
  • A minimum of 1-2 years of experience in an administrative or secretarial role.
  • Excellent written and verbal communication skills are essential for this role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is crucial.
  • Strong organizational and planning skills with attention to detail are mandatory.
  • Ability to multitask and prioritize work efficiently in a fast-paced environment.
  • Professional appearance and demeanor with a customer-service-oriented mindset.
