Job Description

As a Junior Secretary, you will play a pivotal role in ensuring the efficient operation of our office. You will be responsible for managing daily administrative tasks, supporting senior staff, and enhancing the overall productivity of our work environment. This position involves a wide range of responsibilities, including scheduling appointments, organizing meetings, maintaining office supplies, and handling communication tasks. Your ability to manage time effectively and your attention to detail will contribute significantly to our team's success. As the first point of contact for many of our clients and partners, professionalism and effective communication are crucial components of this role.


Responsibilities

  • Assist in the scheduling and coordination of meetings and appointments for all departments.
  • Maintain organized records and filing systems for both physical and digital documents.
  • Handle incoming calls, emails, and mail, ensuring they reach the correct destinations.
  • Provide administrative support to senior staff and assist with special projects as needed.
  • Ensure that office supplies and equipment are well-stocked and properly maintained.
  • Assist with travel arrangements and itinerary planning for team members and executives.
  • Prepare and proofread correspondence, reports, and other documents for accuracy and completeness.
  • Support the organization and preparation for meetings, including minutes taking if necessary.
  • Serve as a point of contact for visitors, ensuring a positive and professional image is maintained.
  • Manage and update departmental databases and client contact information regularly.
  • Collaborate closely with other administrative staff to support the overall office operations.
  • Participate in training and development opportunities to continuously improve job performance.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook applications.
  • Excellent verbal and written communication skills, with an ability to interact professionally.
  • Strong organizational skills with a keen attention to detail and multitasking abilities.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Prior experience in an administrative role is preferred but not required.
  • Demonstrated ability to work both independently and collaboratively in a dynamic environment.
