Reports To: HR Manager

  • Purpose of the Role

To execute daily HR administration activities with accuracy and timeliness, supporting recruitment coordination, employee documentation, onboarding, payroll data preparation, compliance tracking, HR reporting, and cross-functional coordination. The role ensures smooth HR operations and maintains high standards of data integrity and employee support.

  • Core Responsibilities
  • HR Operations & Administration
    • Execute daily HR administration workflows and maintain documentation accuracy.
    • Update HR trackers, dashboards, and employee records consistently.
    • Respond to employee queries promptly and professionally.
    • Support HR events, engagement activities, and internal communication tasks.
  • Recruitment Coordination
    • Schedule interviews and coordinate calendars with hiring managers.
    • Communicate with candidates and ensure timely follow-ups.
    • Maintain ATS updates, candidate records, and recruitment trackers.
    • Prepare joining documentation, onboarding kits, and pre-joining formalities.
  • Onboarding & Employee Lifecycle Support
    • Ensure onboarding documentation, access provisioning, and induction coordination.
    • Support joining formalities and induction logistics.
    • Assist with exit formalities, clearances, and documentation updates.
    • Maintain accurate employee files and lifecycle documentation.
  • Payroll Data Preparation & Accuracy
    • Prepare attendance, leave, overtime, and payroll input data.
    • Validate payroll data accuracy before submission to HR Admin Manager.
    • Track deductions, allowances, and adjustments.
    • Maintain payroll trackers and audit logs.
  • Compliance & Record Governance
    • Maintain employee files, visa trackers, and contract expiry trackers.
    • Track document expiry dates and send timely alerts for renewals.
    • Ensure records remain audit-ready at all times.
    • Support compliance reviews and policy updates.
  • HR Reporting & Coordination
    • Update HR dashboards and trackers regularly.
    • Support weekly and monthly reporting cycles.
    • Coordinate with Finance, IT, and Operations for employee enablement and system access.
    • Ensure HR systems and data repositories are consistently updated.
  • Emiratization Process
  • Manage and complete the end-to-end Emiratization process, ensuring the quarterly Emiratization quota is achieved and successfully onboarding candidates into the company.
  • Experience is Handling Nafis Portal
  • Experience in Handling AD Pension website.

    • Supports audits, HR system improvements, and special HR projects.
    • Provides backup coverage during peak periods or staff absences.
    • Assists with process enhancements and HR initiatives.
