Job Description

The Front Office Assistant plays a crucial role in maintaining the smooth and efficient operation of the front office environment, and serves as the first point of contact for clients, visitors, and staff. This position requires a highly organized and customer-focused professional who excels in multitasking and is equipped with excellent communication skills. A Front Office Assistant is responsible for handling administrative duties, managing schedules, directing visitors, and providing overall support to the front office team. Responsibilities

  • Greet and assist visitors promptly and professionally as they arrive.
  • Answer and direct incoming calls with a courteous and helpful attitude.
  • Manage the front office area keeping it organized and welcoming.
  • Maintain and update appointment calendars and schedule meetings.
  • Coordinate reception services and manage incoming and outgoing mail.
  • Assist with administrative tasks such as filing, scanning, and data entry.
  • Handle inquiries and provide accurate information about the organization.
  • Support staff by preparing correspondence, reports, and presentations.
  • Monitor office supplies and coordinate with suppliers for replenishments.
  • Liaise with office management and provide necessary assistance as required.
  • Ensure workspace safety and compliance with company policies and procedures.
  • Maintain confidentiality of all sensitive information and documents.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience in a front office or administrative support role.
  • Strong proficiency in Microsoft Office and other office management software.
  • Excellent verbal and written communication skills are mandatory.
  • Outstanding organizational and multitasking skills with keen attention to detail.
  • Ability to work independently and as part of a collaborative team.
  • Exceptional customer service orientation and a professional appearance.
