Job Description

We are seeking a highly organized and personable Front Desk Receptionist to join our team. As the first point of contact for our company, you will play a crucial role in representing our firm with professionalism and courtesy. Your primary responsibility will be to manage the reception desk, greet visitors, and ensure efficient communication between clients and office staff. The ideal candidate will possess excellent communication skills, the ability to multitask, and a warm, welcoming demeanor. You should be proactive, detail-oriented, and capable of handling a variety of administrative tasks to support the office's daily operations. Responsibilities

  • Greet and welcome visitors and direct them to the appropriate personnel.
  • Answer, screen, and forward incoming phone calls in a timely manner.
  • Provide accurate information in response to client inquiries and requests.
  • Maintain office security by following safety procedures and controlling access.
  • Distribute incoming and outgoing mail and handle courier services as needed.
  • Keep the reception area tidy and presentable, with all necessary materials in place.
  • Assist with scheduling meetings, booking conference rooms, and arranging refreshments.
  • Operate office equipment, such as photocopiers and fax machines, competently.
  • Compile and update records ensuring accuracy and data integrity at all times.
  • Coordinate with other departments to ensure smooth administrative operations.
  • Monitor office supplies and place orders to ensure adequacy and availability.
  • Assist with special projects and other administrative tasks as required.

Requirements

  • Proven work experience as a receptionist or in a similar role.
  • Proficiency in Microsoft Office Suite and basic office equipment usage.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Exceptional customer service skills and a professional appearance.
  • Detail-oriented and able to handle confidential information discreetly.
  • Availability to work flexible hours and possibly overtime if needed.
