The Front Desk Receptionist plays a crucial role in creating a welcoming and efficient environment for visitors and employees alike. As the first point of contact, the receptionist is responsible for managing front desk operations, ensuring an exceptional experience for guests, and maintaining smooth daily operations. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person or department efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Coordinate appointments and manage meeting room scheduling.
  • Assist with administrative tasks such as data entry and filing.
  • Maintain office security by following safety procedures and controlling access.
  • Keep updated records of office expenses and costs regularly.
  • Support other staff members with a variety of ad-hoc administrative projects.
  • Handle guest inquiries and resolve issues with a customer-oriented approach.

Requirements

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficient in Microsoft Office Suite and capable of learning new software quickly.
  • Strong communication skills, both verbal and written, are essential.
  • Professional appearance and attitude with a focus on customer service.
  • Ability to organize, multitask, prioritize, and work under pressure.
  • High school diploma or equivalent; additional certification in Office Management is a plus.
  • Demonstrated problem-solving skills and attention to detail are critical.
