Job Description

We are seeking a friendly and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our organization, providing administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. As the face of our company, you must be presentable and have exceptional interpersonal skills. This role requires a proactive and positive approach to providing effective front desk management and support to ensure the smooth operation of our work environment.


Responsibilities

  • Greet clients and visitors with a positive, helpful attitude at the front desk.
  • Assist clients in finding their way around the office and maintaining security.
  • Announce clients as necessary to the appropriate staff members timely and efficiently.
  • Maintain appointment schedule by planning and scheduling meetings and appointments.
  • Handle all incoming phone calls and route them to the appropriate departments professionally.
  • Provide excellent customer service, addressing visitor inquiries and directing them appropriately.
  • Perform basic bookkeeping and clerical duties to support office operations effectively.
  • Keep reception area tidy and presentable, with all necessary stationery and material.
  • Sort and distribute incoming mail, prepare outgoing mail and coordinate deliveries.
  • Perform administrative tasks, including data entry, copying, filing, and maintaining records.
  • Coordinate with other administrative staff for special projects and assignments as required.
  • Monitor office supplies inventory and place orders when necessary to ensure availability.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Professional attitude and appearance suitable for the front desk environment.
  • Solid written and verbal communication skills for effective client interaction.
  • Ability to be resourceful and proactive when issues arise in the workspace.
  • Excellent organizational skills and the ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and fundamental computer operating knowledge.
