Job Description

The Front Desk Officer serves as the first point of contact for our organization, responsible for shaping the first impression and ensuring customer satisfaction from the moment a visitor walks through our doors. This role involves not only manning the front desk but also juggling various administrative tasks to keep daily operations running smoothly. The ideal candidate should be capable of handling a high volume of inquiries, managing schedules, and supporting the general functioning of the office. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location.
  • Answer, screen, and forward incoming phone calls promptly.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock regularly.
  • Coordinate front-desk activities, including distributing correspondence.
  • Perform basic clerical duties such as filing, photocopying, and maintaining records.
  • Schedule appointments and maintain calendar systems for the office staff.
  • Support other staff with administrative tasks when needed and requested.

Requirements

  • Proven work experience as a Front Desk Officer or similar role.
  • Proficiency in Microsoft Office Suite and basic computer skills.
  • Hands-on experience with office equipment, like printers and fax machines.
  • Professional attitude and appearance, with a customer-oriented approach.
  • Solid written and verbal communication skills are essential for this role.
  • Ability to be resourceful and proactive when issues arise without supervision.
  • Excellent organizational skills with attention to detail in day-to-day tasks.
