Job Description

The position of Executive Secretary 04N25 is a pivotal role that demands a blend of organizational, administrative, and interpersonal skills to provide high-level executive support to senior leaders within a company. The ideal candidate will possess the ability to handle a broad range of administrative and executive support-related tasks independently and with little supervision. This role serves as a primary point of contact for internal and external stakeholders and requires the highest level of trust, confidentiality, and professionalism. The Executive Secretary will facilitate communication, coordinate schedules, and ensure seamless operational flow within the executive's office, contributing significantly to the overall efficacy of the organization's leadership team.


Responsibilities

  • Coordinate and manage the executive's schedule, appointments, and travel arrangements efficiently.
  • Prepare, review, and edit incoming and outgoing communications and documents meticulously.
  • Facilitate effective communication between executives and internal departments or external parties.
  • Organize and maintain the executive's filing system to ensure easy retrieval of information.
  • Handle confidential information responsibly, adhering to company policies and legal requirements.
  • Coordinate and oversee special projects as delegated by executive leadership.
  • Assist in the preparation and execution of executive presentations and reports.
  • Respond to inquiries and requests from stakeholders with a professional and helpful attitude.
  • Manage and reconcile expense reports and financial documents for executives.
  • Establish and nurture professional relationships with office staff and external clients.
  • Monitor, order, and stock office supplies to ensure an efficient office environment.
  • Conduct research and provide recommendations to support executive decision-making processes.

Requirements

  • Bachelor's degree in Business Administration or a related field is preferred.
  • A minimum of 5 years of experience in an executive support role is required.
  • Excellent written and verbal communication skills are essential for success.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Proven track record of maintaining confidentiality and discretion in complex situations.
  • Demonstrated ability to work independently and proactively solve problems.
