Job Description

An Executive Assistant operates as a critical component of an organization's leadership team by providing high-level administrative support to executives. In this dynamic role, you will serve as a crucial link between the executives and internal as well as external stakeholders, ensuring seamless communication and the smooth functioning of the executive's office. The role demands a proactive approach, exceptional organizational skills, and the ability to manage multiple tasks efficiently. You will be responsible for managing executive schedules, coordinating meetings, handling confidential information, and more. The ideal candidate will have a strong understanding of business operations, excellent interpersonal skills, and the ability to work in a fast-paced environment, making significant contributions to the organization’s success.


Responsibilities

  • Manage and maintain executive schedules, ensuring optimal time management.
  • Coordinate and schedule meetings, conferences, and travel arrangements efficiently.
  • Prepare executive correspondence, reports, and presentations with exceptional accuracy.
  • Act as a liaison between executives and other staff members, facilitating smooth communication.
  • Handle and prioritize all outgoing and incoming electronic communications promptly.
  • Organize and manage all executive files, ensuring quick and efficient retrieval.
  • Assist in the preparation of board and executive committee meetings meticulously.
  • Conduct research and gather data to support executive decisions and presentations.
  • Ensure the confidentiality of sensitive information and adhere to data protection protocols.
  • Track and oversee projects delegated by executives, providing regular updates.
  • Operate as the primary point of contact for internal and external stakeholders.
  • Manage and resolve any administrative issues, streamlining executive office operations.

Requirements

  • Bachelor’s degree in business administration or related field preferred.
  • Minimum of 3 years of experience in an executive support role.
  • Exceptional written and verbal communication skills essential for success.
  • Proven ability to multitask and manage time effectively under pressure.
  • Strong proficiency with office productivity software such as MS Office suite.
  • Excellent organizational skills with a keen attention to detail.
  • Ability to handle confidential information with discretion and integrity.
