Job Description

We are seeking a dedicated and highly organized Executive Assistant to join our team and support our senior leadership. In this role, you will be pivotal in ensuring the efficient operation of the executive office, managing an array of administrative tasks including scheduling, correspondence, and coordination of meetings and events. Our ideal candidate is a proactive problem solver with exceptional communication skills and a meticulous eye for detail. You will be expected to manage various priorities and work independently in a fast-paced environment. With the ability to handle sensitive and confidential information with discretion, you will support the executive team in reaching their strategic goals and enhancing productivity.


Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate appointments efficiently.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the planning and execution of executive meetings and conferences.
  • Handle confidential information with high discretion and professionalism.
  • Arrange complex and detailed travel plans, itineraries, and agendas for executives.
  • Conduct research, compile data, and prepare reports for consideration and presentation.
  • Liaise with internal staff at all levels of the organization on behalf of the executives.
  • Screen and respond to phone calls, emails, and inquiries on behalf of executives.
  • Coordinate and manage special projects as assigned by senior management.
  • Oversee and maintain office supplies, ensuring resources are stocked and ready.
  • Create and maintain a well-organized filing system for important documents.
  • Support the executive team with personal tasks as required to enhance productivity.

Requirements

  • Bachelor's degree in business administration or related field preferred.
  • Minimum of 3 years' experience as an executive assistant or similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to handle sensitive information with confidentiality.
  • Proven ability to work efficiently in a high-pressure, fast-paced environment.
