Job Description

An Events Coordinator is a vital role within any organization, responsible for planning, organizing, and executing events that fulfill both the strategic and social goals of the company. This position acts as a liaison between clients, vendors, and venue staff, ensuring that every detail is meticulously managed, from conception through to completion. As an Events Coordinator, you will be the creative force behind events that range from corporate meetings and conferences to elaborate banquets and weddings. You'll be expected to demonstrate a keen eye for detail, exceptional organizational skills, and the ability to multitask in a dynamic environment. Your focus will be to create memorable experiences for attendees, facilitating flawless event execution, addressing any issues that arise quickly and efficiently while maintaining a positive and professional demeanor.


Responsibilities

  • Plan, design, and execute events from concept through completion.
  • Coordinate and communicate effectively with clients to understand their event needs.
  • Manage relationships with vendors to ensure timely delivery of services.
  • Oversee event logistics including venue setup, audio-visual, and catering services.
  • Create event proposals and budgets, ensuring financial feasibility and resource allocation.
  • Work with marketing teams for promotional efforts and event branding strategies.
  • Lead event execution on the day, troubleshooting any issues that arise.
  • Conduct post-event evaluations to gather feedback and determine future improvements.
  • Maintain event records and accurate documentation for future reference.
  • Ensure compliance with insurance, legal, and health and safety requirements.
  • Source and negotiate with vendors and suppliers for cost-effective solutions.
  • Build and manage a team of part-time staff or volunteers for large events.

Requirements

  • Bachelor’s degree in event management, hospitality, or a related field.
  • Previous experience in coordinating events, ideally in a corporate setting.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to manage multiple projects and deadlines simultaneously with precision.
  • Proficiency in event management software and Microsoft Office programs.
  • Flexibility to work evenings, weekends, and travel as required by event schedules.
