Job Description

An Events Coordinator plays a crucial role in the planning and execution of events ranging from small meetings to large conferences. The successful candidate in this position is responsible for overseeing all aspects of event planning and management, including internal and external events. The primary goal of this role is to create memorable experiences for guests while ensuring events run smoothly. An Events Coordinator works collaboratively with teams, vendors, and clients to understand event requirements and ensure expectations are met or exceeded. You will manage logistics, timelines, and seek innovative solutions to any potential issues, ensuring every detail is executed to perfection. This position calls for exceptional organizational skills, a keen eye for detail, and the ability to work under pressure in a fast-paced environment.


Responsibilities

  • Coordinate with clients to understand their vision and needs for events.
  • Plan and manage event logistics including venue selection and guest accommodations.
  • Develop detailed event budgets and manage expenses within those constraints.
  • Work with vendors to secure deals on services and materials required for events.
  • Oversee the creation of event marketing materials and promotional campaigns.
  • Facilitate pre-event meetings with teams to align strategies and responsibilities.
  • Ensure compliance with health, safety, and legal regulations during events.
  • Coordinate the setup and teardown of events, managing logistics and troubleshooting.
  • Supervise on-site event staff and volunteers to ensure efficient execution.
  • Gather and review feedback from clients and attendees for post-event evaluation.
  • Maintain relationships with clients and stakeholders to secure future contracts.
  • Stay informed on industry trends to introduce innovative event experiences.

Requirements

  • Bachelor’s degree in Event Management, Hospitality, or a related field preferred.
  • At least two years of experience in event planning or coordination roles.
  • Strong organizational and time management skills are essential for managing events.
  • Excellent communication and interpersonal abilities for client and vendor interaction.
  • Proficiency in Microsoft Office and event management software applications.
  • Capability to handle stress and work under pressure in tight deadlines.
  • Willingness to work irregular hours, including weekends and evenings.
  • Experience in budget management and financial acumen for cost-effective planning.
  • A proven track record of successful events from planning to execution stages.
