Job Description
The Document Controller / Data Entry is responsible for managing and maintaining all documentation related to Coating and GRE plant operations. This role ensures accurate receipt, control, encoding, storage, and retrieval of documents while supporting operational efficiency, audit readiness, and compliance with company standards.
Key Responsibilities
Operate and maintain established document control procedures in accordance with company policies, QMS requirements.
Receive, encode, store, control, and retrieve operational and plant documentation in a timely and accurate manner.
Perform daily encoding of production documentation and coordinate yard activity records.
Control, track, and maintain all Coating plant work order documentation.
Ensure document accuracy, proper version control, traceability, and confidentiality.
Work closely with team members and relevant departments to ensure efficient workflow and effective task completion.
Support internal and external audits by preparing, organizing, and providing required documentation.
Identify documentation gaps or discrepancies and coordinate corrective actions when required.
Consistently follow and promote all Company QMS, policies, and procedures.
Qualifications & Experience Requirements
Education
Diploma or bachelor’s degree in a related field preferred.
Experience
Minimum of 2–4 years of experience in document control, data encoding preferably within a manufacturing, plant, or industrial environment.
Quality Management System experience.
Experience handling work orders, purchase orders, and operational documentation.
Prior exposure to Piping, Coating, GRE, or similar production facilities is highly desirable.
Experience supporting internal and external audits and working within quality management systems.
Familiarity with HSEMS, QMS, and company compliance procedures.
Skills & Competencies
Strong attention to detail and accuracy in data entry and document control.
Proficiency in Microsoft Office applications, especially in MS Excel (Basic formulas for summaries, structured Excel Data, missing/inconsistent/duplicate data).
Ability to manage multiple priorities and meet daily deadlines.
Strong organizational, coordination, and communication skills.
Team-oriented mindset with a strong commitment to safety, quality, and compliance.
