Job Description

A Document Controller is responsible for the organization, management, and maintenance of a company's documents and records. This role is critical in ensuring that all documentation is up-to-date, accurately filed, and easily retrievable for future reference or audits. The Document Controller’s duties involve working closely with various departments to manage workflow and ensure that documentation meets regulatory standards. They must have a keen eye for detail, excellent organizational skills, and the ability to handle sensitive and confidential information with the utmost discretion. A successful Document Controller will streamline document management processes, aiding in enhancing operational efficiency and maintaining a well-structured document repository.


Responsibilities

  • Develop and maintain a comprehensive system for document storage and retrieval.
  • Ensure that all company documents are correctly archived and accessible for reference.
  • Implement and refine document control procedures to improve operational efficiency.
  • Monitor document workflow to ensure timely review and approval of documents.
  • Collaborate with different departments to manage document submission and distribution.
  • Regularly audit the document management process to ensure compliance with policies.
  • Provide training and support to staff on document management systems and procedures.
  • Maintain document version control and ensure only the most current versions are used.
  • Ensure that document confidentiality and security measures are consistently upheld.
  • Assist in the preparation and updating of document-related reports for management review.
  • Coordinate with IT department to troubleshoot document management system issues.
  • Maintain a high standard of organization for physical and electronic document storage.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Proven experience as a Document Controller or in a similar administrative role.
  • Strong knowledge of document management software and related technologies.
  • Excellent organizational skills with a keen eye for detail and accuracy.
  • Ability to prioritize tasks and manage time effectively under deadlines.
  • Exceptional communication skills, both verbal and written, are necessary.
  • Familiarity with regulatory compliance and standards for document management.
