Job Description

The role of a Document Controller 12N25 is critical for maintaining an organized and efficient documentation system within an organization. Document Controllers are responsible for managing, distributing, and securing important documents and records to ensure compliance with project or organizational standards. In this position, the Document Controller plays a pivotal part in organizing and controlling electronic and paper documentation related to various projects. They ensure that documents are easily accessible and follow the standardized procedures for versioning, distribution, and filing. This role requires a keen eye for detail, excellent organizational skills, and the ability to work collaboratively with different departments to facilitate effective communication and document management processes. A successful Document Controller will ensure that all documentation is in place, up-to-date, and readily available to aid in decision-making, project execution, and compliance auditing.


Responsibilities

  • Manage the distribution and storage of all project-related documentation meticulously.
  • Implement and maintain an effective document control system in compliance with industry standards.
  • Ensure proper version control is maintained for documents and records at all times.
  • Coordinate with project teams to procure necessary document approvals and signatures.
  • Maintain digital and paper filing systems for ease of access and retrieval of documents.
  • Regularly review and update documentation to reflect current project status accurately.
  • Organize and maintain an efficient archiving system for historical project documentation.
  • Collaborate with different departments to ensure consistent document management practices.
  • Conduct training sessions for staff on document management and compliance procedures.
  • Prepare and submit reports on document control activities and compliance issues.
  • Assist in audits and quality assurance checks pertaining to documentation processes.
  • Ensure confidentiality and security of classified documentation and sensitive information.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • At least 3 years of experience in document control or records management.
  • Proficiency in document management software and related computer applications.
  • Excellent organizational skills and keen attention to detail are mandatory.
  • Strong communication skills, both verbal and written, for effective collaboration.
  • Ability to work independently and manage multiple tasks simultaneously under deadlines.
  • Familiarity with document control standards, ISO 9001, and compliance requirements.
