Job Description

The Document Controller is a crucial role within a company, responsible for managing all documentation processes across various departments. This position requires a detail-oriented individual capable of ensuring that all documents are maintained accurately and can be retrieved efficiently. The Document Controller coordinates with different teams to ensure compliance with company policies and legal regulations. This role often serves as a centralized point for document management, providing support to project teams, and ensuring that documentation control procedures are followed diligently. The Document Controller plays a critical part in ensuring the smooth functioning of the organization's operations, preserving the integrity and consistency of records, and facilitating the accessibility of necessary documentation. Additionally, the Document Controller ensures that both electronic and hard copy documents are archived securely and are accessible as needed to authorized personnel.


Responsibilities

  • Maintain and manage all documents for easy retrieval and archiving.
  • Coordinate with various departments to manage document changes and updates.
  • Ensure that new and revised documents are accessible in a timely manner.
  • Develop and maintain a document management system for efficiency improvements.
  • Verify that documents adhere to company and industry standards.
  • Control the flow of documents in and out of the department as needed.
  • Monitor the document lifecycle and manage distribution of new revisions.
  • Assist project teams with the development and completion of documentation.
  • Ensure confidentiality and security of sensitive information in documents.
  • Provide training and support to staff on document control procedures.
  • Perform audits on documents to ensure compliance with policies and laws.
  • Support in the preparation of reports and presentations as required.

Requirements

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as a Document Controller or in a similar role is mandatory.
  • Proficient in document management software and other relevant applications.
  • Strong understanding of document control processes and best practices.
  • Excellent attention to detail and organizational skills are essential.
  • Strong communication skills, both written and verbal, are required.
  • Ability to work collaboratively and independently when necessary.
