Job Description

The Document Controller is a vital role within project management, engineering, and other sectors where a comprehensive record-keeping system is critical. This position is responsible for managing, organizing, and maintaining all documentation and communications related to ongoing projects. The Document Controller ensures that all documents adhere to established standards and protocols, are easily accessible, and are correctly stored. They play a key role in ensuring project success by facilitating effective documentation management, allowing for easy retrieval of information, and helping minimize administrative errors. In essence, the Document Controller serves as the custodian of important project documents, balancing the requirements of accessibility, confidentiality, and reliability.


Responsibilities

  • Establish and maintain a structured document filing system for all projects.
  • Ensure all documentation is accurately cataloged and easily retrievable.
  • Control and distribute documents related to projects and ensure up-to-date files.
  • Collaborate with project managers to ensure documentation aligns with project timelines.
  • Check documents for accuracy and compliance with company standards before filing.
  • Track and report on all documentation processes and updates regularly.
  • Coordinate with external partners and stakeholders for document submissions.
  • Support the creation of technical and project documentation when needed.
  • Maintain version control for documents and information across projects.
  • Implement document security protocols to safeguard sensitive information.
  • Train staff on document management systems and procedures when necessary.
  • Assist in audit preparations by organizing and providing required documentation.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or a related field.
  • Minimum of 3 years of experience in document control or similar roles.
  • Proficiency in document management software such as Microsoft SharePoint or similar.
  • Exceptional attention to detail and organizational skills are essential.
  • Strong communication skills, both verbal and written, are required.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Firm understanding of confidentiality and security protocols in document handling.
