Job Description

Our company is seeking a highly organized and detail-oriented Document Controller to join our team. As a Document Controller, you will be responsible for managing and overseeing the organization's documents, ensuring that they are easily accessible, well-organized, and appropriately stored. You will play a crucial role in regulatory documentation and project management by ensuring the accuracy and integrity of the documentation. This role requires a keen eye for detail, excellent organizational skills, and the ability to manage large volumes of information effectively. The ideal candidate will have experience in document management systems and be well-versed in maintaining data confidentiality and integrity.


Responsibilities

  • Ensure that all documentation is maintained properly and is easily accessible for future reference.
  • Implement document control procedures and policies that align with industry standards.
  • Organize and manage files, folders, and records both electronically and physically.
  • Ensure document modification history and version control are accurately maintained.
  • Collaborate with various departments to ensure compliance with document procedures.
  • Provide support and training to staff on document management systems and processes.
  • Review documentation for accuracy and compliance with company and regulatory standards.
  • Coordinate with project teams to ensure timely and efficient document flow.
  • Maintain confidentiality of sensitive information and ensure secure storage of documentation.
  • Track and manage incoming and outgoing documentation to ensure timely handling.
  • Work closely with team members to resolve document-related issues and queries.
  • Periodically conduct audits of the document management system to ensure efficiency.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • Minimum of two years of experience in document control or records management.
  • Proficiency in document management software and Microsoft Office Suite.
  • Excellent organizational skills and strong attention to detail and accuracy.
  • Ability to handle confidential information with integrity and discretion.
  • Strong communication skills to effectively collaborate with various teams.
  • Experience with regulatory compliance and quality management systems is preferred.
  • Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
