As part of the development of our activities in the UAE, we are looking for an experienced Document Control Managerto join a major infrastructure and railway project in Abu Dhabi.

Job Description

The Document Control Manager will be responsible for establishing, managing and overseeing the complete project document control function.

The position will ensure that technical documentation, drawings, correspondence, records, submissions and project deliverables are properly controlled, reviewed, distributed, tracked, archived and maintained throughout the project lifecycle.

The role will also manage the project Electronic Document Management System (EDMS), supervise the Document Control team and act as the focal point for document management matters across project stakeholders.

Key Responsibilities

  • Establish, implement and maintain the project-wide document control system in accordance with contractual and project requirements.
  • Develop and maintain document control procedures, workflows, distribution processes and document management protocols.
  • Manage technical documents, drawings, correspondence, reports, calculations, specifications, method statements, material submissions, inspection records and project deliverables.
  • Ensure all documents are correctly registered, classified, coded, distributed, tracked and archived.
  • Maintain document numbering, metadata, revision and status-control systems.
  • Ensure complete document traceability throughout the project lifecycle.
  • Manage and oversee the use of Aconex and other EDMS platforms.
  • Configure and maintain document workflows, registers, distribution lists, transmittals, access rights and permissions.
  • Ensure project stakeholders comply with approved EDMS workflows and document control procedures.
  • Provide guidance and training to project personnel regarding Aconex and document management requirements.
  • Manage the Document Submittal Register and ensure submissions are accurately recorded and updated.
  • Verify documents for completeness, numbering, format, approvals, signatures, revision history and supporting documentation before submission.
  • Monitor document review and approval cycles and identify overdue actions.
  • Prepare weekly and monthly document control reports, KPIs and dashboards.
  • Maintain effective revision control and ensure obsolete or superseded documents are removed from active circulation.
  • Maintain document retention, archiving, backup and recovery processes.
  • Lead document-control activities associated with project completion, handover and close-out.
  • Monitor As-Built drawings, O&M documentation, certificates, approvals, testing records and final project documentation.
  • Coordinate documentation interfaces between Engineering, Construction, Quality, Commissioning, Planning, Cost Control and other project functions.
  • Lead, manage and supervise Document Controllers and Document Control Assistants.
  • Allocate workloads, monitor team performance and provide technical guidance and training.
  • Support internal and external audits by providing complete and traceable documentation.
  • Maintain confidentiality and appropriate access controls for sensitive project information.
  • Provide document status information to Project Controls and management teams.

Qualifications

  • Bachelor's Degree or Diploma in Document Control, Information Management, Business Administration, Engineering or a related discipline.
  • 8–12 years of document control experience, preferably within major infrastructure, railway, construction or engineering projects.
  • Proven experience as a Document Control Manager or Lead Document Controller on large-scale projects.
  • Strong experience managing project-wide document control functions and teams.
  • Proven experience using Aconex / EDMS and managing document workflows.
  • Strong understanding of document numbering, revision control, transmittals, registers and project document lifecycle management.
  • Experience managing handover and close-out documentation.
  • Strong reporting, organizational and stakeholder-management skills.
  • Ability to coordinate effectively with multidisciplinary project teams, subcontractors, consultants and external stakeholders.

Important Application Requirement
