Job Summary
At [Company], the Colleague Experience (CX) Coordinator plays a pivotal leadership role in ensuring a seamless and supportive experience for colleagues across all touchpoints of their employment lifecycle. As a bridge between HR and cross-functional teams, you will champion a holistic approach to service delivery—ranging from onboarding and relocation support to accommodation coordination and offboarding—with a commitment to professionalism, efficiency, and exceptional stakeholder engagement. You will act as the first point of contact for new colleagues, embedding trust and clarity while processing critical administrative tasks such as contract creation, visa assistance, and HRMS updates. This role demands adaptability to a fast-paced, collaborative environment where your expertise in operational excellence, customer-focused problem-solving, and regulatory compliance drives colleague satisfaction. By mastering multiple CX streams, you will ensure end-to-end support, enhance the employee value proposition, and deliver a memorable and smooth journey for colleagues at every life cycle stage.
Responsibilities
Flexibility, Cross Training & Teamwork
- Provide multi-skilled, cross-training support across all Colleague Experience functions—Onboarding, HR Operations, Transport, Accommodation, and Offboarding—aligned with team and organizational goals. Collaborate seamlessly with colleagues, vendors, and HR stakeholders to ensure cohesive handoffs, process integrity, and service continuity.
- Foster a proactive and collaborative culture, addressing multi-deadline challenges with efficiency while maintaining a solution-oriented mindset. Act as a brand ambassador to uphold company values through transparent and positive communication.
Customer Experience
- Deliver exemplary HR customer service by guiding new and existing colleagues through each interaction, from contract clarifications to conflict resolution, ensuring policy accuracy and alignment with company standards.
- Serve as the first point of contact for colleague inquiries, providing precise guidance, process support, and documentation via phone, email, or in-person channels, with a focus on timeliness and clarity.
- Escalate and resolve complex colleague concerns professionally, maintaining composure in challenging conversations while upholding HR procedural integrity. Adhere to customer service KPIs and regularly update stakeholders on case progression.
- Participate in continuous HR training programs to stay abreast of evolving regulations, processes, and best practices, ensuring consistent delivery of high-quality service.
Process Excellence
- Implement and refine company policies and operational workflows to streamline HR processes, ensuring compliance with legal, health, and safety protocols at all stages of the colleague lifecycle.
- Drive compliance with data accuracy and confidentiality standards, verifying legal documents prior to issuance and maintaining systematic documentation throughout colleague transitions or changes.
- Collaborate with external partners on visa and legal milestones, ensuring deadlines and governmental requirements are met with diligence. Deliver portions of the Colleague Induction Program to clarify rights, obligations, and internal HR processes.
- Optimize business strategies through process audits, stakeholder feedback, and continuous improvement initiatives that enhance efficiency and colleague experience.
HCM Data/File Management
- Adhere to stringent data management protocols, maintaining accurate and up-to-date colleague profiles in HCM databases, with a focus on integrity and accessibility.
- Organize and categorize personnel files systematically, ensuring the secure storage, updating, and retrieval of confidential documents based on company approval workflows.
- Monitor and action relevant process approvals to prevent bottlenecks, while verifying the accuracy of all filed documents to mitigate risks or errors.
Office Management
- Oversee HR office operations, including purchase request tracking, stationery GRN and stock-level monitoring, to eliminate shortages or surplus through strategic inventory planning.
- Ensure administrative resources—such as colleague welcome kits and promotional materials—are available and replenished to support onboarding and engagement initiatives.
Qualifications
Essential
- High School Diploma or equivalent qualification
- At least 1-2 years of experience in Human Resources or administrative support within HR
- Strong interpersonal and customer service skills, with the ability to manage diverse colleague demographics and build rapport
- Exceptional problem-solving and adaptability in fast-paced settings, with a clear commitment to meeting multiple deadlines
- Proficiency in core office software (Excel, Word, PowerPoint) and meticulous attention to detail in processing HR documentation
- Fluent English communication abilities (spoken and written) to accurately represent HR policies and processes
- Empathetic and professional demeanor, with the emotional resilience to handle conflict situations and deliver diplomatic solutions
Desirable
- Postsecondary education, including an associate or bachelor's degree in Human Resources administration or a related field
- Functional knowledge of Oracle HRMS or comparable HCM systems
- Multilingual proficiency to assist colleagues from diverse linguistic backgrounds
