Job Description

The Assistant to the CEO plays a crucial role in ensuring the smooth operation of the executive office. This position requires a high degree of professionalism, confidentiality, and organizational skills to support the Chief Executive Officer in managing daily tasks and strategic projects. You will serve as the primary point of contact for internal and external stakeholders, manage the CEO's schedule, and handle communication on their behalf. Your ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality will be key to your success. The role demands adaptability, excellent communication skills, and the ability to work autonomously in a fast-paced environment, ensuring the CEO remains organized and attentive to critical tasks.


Responsibilities

  • Manage and coordinate the CEO’s daily schedule, ensuring efficient time management.
  • Organize and prepare materials for meetings, conferences, and presentations.
  • Handle confidential information with the utmost discretion and security.
  • Serve as a liaison between the CEO and other departments, stakeholders, or clients.
  • Assist with the preparation and coordination of Board meetings and materials.
  • Conduct research and provide reports to support the CEO's decision-making processes.
  • Screen and prioritize emails, calls, and requests for the CEO's attention.
  • Ensure effective communication and follow-up with key stakeholders and team members.
  • Coordinate and make travel arrangements, including itineraries and accommodations.
  • Develop and maintain filing systems to ensure documentation is easily accessible.
  • Assist in the planning and execution of high-level events hosted by the CEO.
  • Manage special projects as assigned by the CEO, ensuring timely and successful completion.

Requirements

  • Bachelor's degree in Business Administration or related field is required.
  • At least 3-5 years of experience supporting C-level executives or similar roles.
  • Exceptional organizational and multitasking skills in a fast-paced environment.
  • Strong written and verbal communication skills with attention to detail.
  • Proficiency with office software, including Microsoft Office Suite and calendar management tools.
  • High level of professionalism, integrity, and confidentiality in handling sensitive information.
  • Ability to work independently and make informed decisions promptly when necessary.
