The Opportunity

We’re looking for an Operations Analyst to support the day-to-day running of Enterprise Operations. This is a hands-on support role focused on keeping our operational systems accurate, current, and visible by maintaining trackers, preparing reports, chasing inputs, and supporting reporting and governance cadence across the team.

You’ll work closely with the Enterprise BU functional heads and the teams and report to the Senior Manager, Enterprise Operations. It suits someone highly organized and detail-oriented, comfortable coordinating and administering across functions, and who wants to grow into broader operations work.

Key Responsibilities

Reporting and trackers

  • Maintain the operational trackers across the team (projects, actions, resources, timesheets), keeping data accurate, current, and refreshed on cadence.
  • Prepare and format regular status reports and dashboard updates for review by the functional leads and the senior management.
  • Consolidate inputs from functional leads into the weekly reporting pack, and chase missing or late inputs ahead of deadlines.

Coordination and cadence

  • Schedule and support recurring operational meetings; capture minutes, log actions, and follow up to closure.
  • Keep the action and RAID logs current across the team, and track escalations to resolution.
  • Coordinate across Delivery, Commercial, Finance, and PMO to keep operational information flowing.

Systems (maintain and administer)

  • Maintain and make updates to existing trackers, Power Automate flows, and Power BI dashboards.
  • Flag new automation or dashboard needs to the Operations Manager rather than building from scratch.
  • Run and follow existing AI-assisted workflows for reporting, knowledge retrieval, and content review.

Governance and financial support

  • Support governance processes by maintaining stage-gate and risk logs, preparing gate documentation, and tracking escalations under the direction of the Operations Manager.
  • Maintain project cost and effort trackers using figures received from Finance and Delivery, and support margin and utilization reporting without owning the underlying numbers.

Knowledge and administration

  • Keep operational documentation, templates, and SOPs organized and up to date.
  • Support onboarding of new team members to Operations tools and processes.
  • Handle general operational and administrative tasks that keep the team running.
  • Follow all relevant quality, security, compliance, and governance policies.

Key Requirements

  • Strong organizational and coordination skills, with a track record of tracking actions and following through to closure.
  • Working knowledge of Microsoft 365, especially SharePoint, and comfort maintaining lists, flows, and dashboards (Power Automate and Power BI exposure a plus).
  • Clear written and verbal communication, and comfort coordinating across teams and chasing inputs diplomatically.
  • High attention to detail and a structured, reliable approach to documentation and reporting.
  • Comfortable using AI-assisted and modern productivity tools day-to-day.
  • Discretion and professionalism in handling sensitive operational and financial information.
  • A self-starter who takes initiative in a fast-changing environment.

Preferred (nice To Have)

  • Exposure to project or portfolio coordination, PMO support, or operations in a technology, AI, or data environment.
  • Experience maintaining trackers, dashboards, or reporting for a team or a senior leader.
  • Background in documentation, content, or knowledge management.
