To manage and maintain the central registry for all licenses issued by AD Ports Group, ensuring accuracy, completeness, and integrity of all records. This role is responsible for tracking license renewals, coordinating with internal and external stakeholders, and preparing regular reports for management and government bodies like the DMT. The Executive will play a vital role in ensuring a seamless and efficient licensing lifecycle for all port and marine service providers.

Responsibilities

Core Responsibilities:

  • License Registry Management: Maintain and manage the definitive register for all marine and port licenses, ensuring all data is accurate and up-to-date.
  • Renewals Tracking: Proactively track all license renewal dates and coordinate with licensees to ensure timely submission of renewal applications.
  • Reporting: Prepare and distribute regular and ad-hoc reports on licensing statistics, renewals, and compliance to internal stakeholders and external government bodies such as the Department of Municipalities and Transport (DMT).
  • Client Engagement: Actively engage with service providers to provide support on licensing inquiries, assist with renewal processes, and maintain positive long-term relationships.
  • Documentation Management: Maintain all relevant documentation in line with AD Ports Group policy, ensuring records are prepared for audit and review.
  • Process Coordination: Assist in managing the online No Objection Certificate (NOC) system as mandated by the AD Department of Economic Development, ensuring compliance for all service providers.
  • Process Improvement: Actively work to improve registry and reporting processes by refining workflows and adopting technological advancements.
  • Invoicing & Financial Coordination: Issue initial invoices through the internal billing system and coordinate with the Finance control team to ensure accurate billing for licensing services.

Qualifications

Educational and Technical Qualifications:

  • Bachelor’s Degree in Business Administration, Maritime Studies, or a related field.

Language Skills:

  • Excellent command of English (written and spoken). Arabic is an advantage.

Years of Experience:

  • A minimum of 2-4 years of experience in a similar administrative, coordination, or regulatory role.

Nature of Experience:

  • Experience in records management, database administration, or a similar function requiring a high level of accuracy.
  • General knowledge of regulations and procedures of AD Ports Group and relevant government entities.
  • Proven experience in using IT, database, and web-based applications to automate processes.
