The Administrator is responsible for providing secretarial, administrative, and technical support to faculty, students, and staff within the College of Engineering. This role includes managing schedules, coordinating events, assisting with day-to-day operations, and providing guidance to ensure smooth functioning. The ideal candidate should possess strong IT knowledge and programming skills to offer technical support as needed. Key Responsibilities:

  • Provide administrative support to faculty, staff, and students within the College of Engineering.
  • Coordinate and organize daily activities, ensuring effective communication within the college and with external departments.
  • Assist academic advisors with scheduling, student consultations, and general administrative tasks.
  • Serve as a liaison with the Admissions and Registration Department to manage student-related inquiries and processes.
  • Act as the primary point of contact for faculty, staff, and students across departments within the college and other colleges.
  • Respond to student inquiries in a timely and professional manner, providing assistance or directing them to appropriate resources.
  • Organize, coordinate, and follow up on administrative tasks related to the Dean’s office.
  • Plan and manage events within the college, including faculty meetings, workshops, and student engagement activities.
  • Handle scheduling, appointments, and calendar management for faculty and staff.
  • Prepare and manage correspondence, reports, and documents from rough drafts; create agendas, meeting materials, and other necessary documentation.
  • Support the development and dissemination of promotional materials and advertisements for programs within the college.
  • Ensure the smooth operation of technical tools and systems used for administrative tasks and provide basic IT support to faculty and staff when required.
  • Leverage programming skills to automate tasks or develop solutions to enhance efficiency in administrative functions.
  • Perform any other duties or tasks as assigned by the direct manager.

Minimum Qualification

  • Bachelor’s degree or equivalent.
  • Proficiency in English, office programs, and email communication.
  • Strong skills in MS Word, Excel, Access, and other relevant programs.
  • Ability to speak and write in both Arabic and English.
  • Strong organizational skills, with the ability to manage time effectively and handle work pressure.
  • Excellent communication and coordination skills, with the ability to work well within a team.

Preferred Qualification

  • Proven administrative experience, preferably within an academic or engineering environment.
  • A minimum of 2 years of experience in secretarial or administrative work.
  • Proficiency in IT tools, software, and systems commonly used in academic settings.
  • Programming skills (e.g., Python, Java, or other relevant languages) to support administrative functions and solve technical issues.
  • Ability to manage sensitive information with discretion and professionalism.
  • Strong problem-solving abilities and the capacity to handle diverse administrative tasks.
  • Skilled in public relations and dealing with diverse groups of people.
