Job Description

The Administrative Support position (26N25) is crucial to ensuring the smooth functioning of daily operations within an organization. This role involves a diverse range of tasks, all of which contribute to enhancing the efficiency and productivity of the workplace. As Administrative Support, you will be responsible for managing communications, optimizing workflow processes, and providing assistance to various departments as needed. This role requires an individual who is detail-oriented, highly organized, and capable of multitasking in a fast-paced environment. Your contribution will not only streamline office operations but also foster a professional and pleasant work environment that benefits all members of the team.


Responsibilities

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Act as the point of contact between executives and internal or external colleagues.
  • Handle sensitive information in a confidential manner, maintaining the integrity of corporate data.
  • Produce and distribute correspondence memos, letters, faxes, and forms as required.
  • Assist with the preparation of regularly scheduled reports to keep leadership informed.
  • Maintain office supplies inventory by checking stock and ordering new supplies as necessary.
  • Support team members by performing various clerical tasks and duties as needed.
  • Organize and schedule appointments and take minutes during meetings when needed.
  • Develop and maintain a filing system to keep documents and information easily accessible.
  • Assist in event planning and management, including coordination of logistics and vendors.
  • Facilitate communication within the office and to external stakeholders as required.

Requirements

  • Proven administrative support experience in a fast-paced work environment.
  • Strong organizational skills with the ability to multitask effectively and efficiently.
  • Excellent verbal and written communication abilities in a professional setting.
  • Proficiency in using Microsoft Office Suite and office management software.
  • Ability to work independently with minimal supervision while being a team player.
  • High School diploma; additional qualification as an Administrative Assistant or Secretary is a plus.
  • Exceptional attention to detail and ability to maintain confidentiality.
