We are seeking a highly organized and motivated Administrative Support professional to join our team in the dynamic role of Administrative Support 20A26. As a key member of our administrative team, you will be an essential part of our daily operations, ensuring that the office runs smoothly and efficiently. You will assist in a range of tasks from managing communications to supporting various departments, guaranteeing the seamless execution of administrative activities. Our ideal candidate possesses excellent communication skills, a keen eye for detail, and the ability to multi-task effectively. Your supportive role will help in fostering a productive work environment, facilitating collaboration, and allowing our business to deliver exceptional services to our clients.


Responsibilities

  • Coordinate and manage schedules, appointments, and meetings efficiently for the office.
  • Maintain and organize company documents, records, and correspondences in a systematic manner.
  • Facilitate internal communications and distribute incoming messages to appropriate personnel.
  • Assist in the preparation and editing of reports, presentations, and correspondence.
  • Handle incoming calls and direct them to the relevant departments with professionalism.
  • Support department heads with various administrative tasks, as needed and when required.
  • Ensure office supplies and equipment are maintained and reorder/repair as necessary.
  • Implement and oversee office procedures to enhance productivity and efficiency.
  • Provide administrative support during meetings, including recording notes and facilitated discussions.
  • Assist in arranging travel plans and itineraries, including booking accommodations.
  • Manage and resolve any administrative issues or conflicts that may arise promptly.
  • Collaborate with the finance department to process expense reports and invoices accurately.

Requirements

  • High school diploma or equivalent; further education or certification is a plus.
  • Previous experience in an administrative support role or similar is preferred.
  • Exceptional organizational skills and a strong attention to detail are essential.
  • Proficient in Microsoft Office Suite and other necessary office technology tools.
  • Excellent verbal and written communication skills are mandatory for this position.
  • Ability to work independently and collaboratively within a team environment is a must.
  • Strong time management skills to effectively handle multiple tasks simultaneously.
  • A proactive approach to problem-solving with strong decision-making capabilities.
