Job Description

The Administrative Assistant is a pivotal role within our organization, responsible for providing comprehensive administrative support to ensure efficient operation of the office. This position involves a wide range of tasks including scheduling meetings, handling correspondence, and maintaining records. The successful candidate will be highly organized, detail-oriented, and possess excellent communication skills. You will act as the first point of contact for queries, manage the executive’s calendar, and coordinate travel arrangements. Acting as a liaison between departments and external partners, you will ensure that communications run smoothly. As a vital part of our team, your proactive attitude and ability to multitask will contribute significantly to the productivity and success of our organization.


Responsibilities

  • Manage and organize the executive's calendars and schedules effectively.
  • Coordinate meetings, conferences, and travel arrangements efficiently.
  • Prepare and edit documents, presentations, and correspondence professionally.
  • Answer and direct phone calls promptly and courteously.
  • Maintain comprehensive and accurate records and filing systems.
  • Assist with budget tracking and financial reporting tasks.
  • Conduct research and compile data for reports and presentations.
  • Facilitate communication and coordination with internal and external stakeholders.
  • Provide administrative support for special projects as required.
  • Handle information requests and distribute internal communications effectively.
  • Ensure office supplies are maintained and order new supplies as needed.
  • Develop and implement office procedures and administrative systems.

Requirements

  • Proven experience as an administrative assistant or similar role required.
  • Excellent written and verbal communication skills are essential.
  • Proficiency in MS Office Suite, including Word, Excel, and Outlook.
  • Strong organizational and multi-tasking abilities are a must.
  • Ability to handle sensitive information with the highest confidentiality.
  • High School diploma or equivalent; additional qualifications are a plus.
  • Experience with office management systems and procedures is preferred.
