Job Description

An Administrative Assistant 22N25 is a crucial component in any organization, providing essential support to ensure efficient operation of the office. Working in a dynamic and fast-paced setting, you will be responsible for performing a variety of administrative and clerical tasks. This includes providing support to managers and employees, assisting in daily office needs, and managing the company’s general administrative activities. You will act as the point of contact for internal and external clients, interacting with them confidently. Your organizational skills will be key in ensuring that the day-to-day office operations run smoothly. The ideal candidate will be resourceful, a good problem solver, and well organized. Being proactive and able to prioritize tasks will be essential in handling the ever-changing demands of the office.


Responsibilities

  • Answer and direct phone calls, ensuring professional and courteous communication.
  • Organize and schedule appointments with both internal and external stakeholders.
  • Plan meetings and take detailed minutes, ensuring accurate documentation.
  • Write and distribute email, correspondence memos, and letters as needed.
  • Assist in the preparation of regularly scheduled reports, adhering to deadlines.
  • Develop and maintain a filing system for both electronic and hard copy documents.
  • Update and maintain office policies and procedures regularly and as needed.
  • Order office supplies and research new deals and suppliers to optimize budgets.
  • Maintain contact lists ensuring up-to-date and easily accessible information.
  • Book travel arrangements when necessary to support team members and executives.
  • Submit and reconcile expense reports following company protocols and guidelines.
  • Provide general support to visitors, ensuring a welcoming environment.

Requirements

  • Proven experience as an administrative assistant or office admin assistant.
  • Knowledge of office management systems and procedures is required.
  • Proficiency in MS Office (MS Excel and MS PowerPoint specifically).
  • Excellent time management skills and ability to multi-task efficiently.
  • Attention to detail and problem-solving skills are critically important.
  • Strong organizational and planning skills in a fast-paced environment.
  • High School degree; additional qualifications as an Administrative assistant are a plus.
