Job Description

The Administrative Assistant plays a crucial role in ensuring the smooth operation of an organization's administrative functions. This position is ideal for someone who possesses excellent organizational skills and thrives in a dynamic environment. As an Administrative Assistant, you will be responsible for supporting management and staff by facilitating daily office tasks and coordinating various administrative processes. You will serve as the primary point of contact for internal and external inquiries, maintain organized records, and ensure that all clerical duties are handled efficiently. This role requires a detail-oriented individual with superior communication skills and the ability to manage multiple priorities while exercising discretion and confidentiality.


Responsibilities

  • Manage and prioritize daily office tasks to ensure efficient workflow.
  • Answer and direct phone calls, taking messages when necessary.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Maintain an organized filing system of paper and electronic documents.
  • Order office supplies and research new deals and suppliers to optimize costs.
  • Provide general support to visitors and ensure they are attended to professionally.
  • Liaise with executive assistants to handle requests and queries from senior managers.
  • Coordinate and maintain records for office space, parking, and phones.
  • Plan and organize company events, workshops, and meetings.
  • Handle sensitive information in a confidential manner with integrity.
  • Collaborate with other departments to support cross-department initiatives and projects.

Requirements

  • Proven experience as an Administrative Assistant or in a related field.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills for internal and external interaction.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Demonstrated ability to exercise discretion and uphold confidentiality standards.
  • High school diploma or equivalent; additional qualification as an administrative assistant is a plus.
  • Capable of working both independently and collaboratively in a fast-paced environment.
