An Administrative Assistant at our organization plays a crucial role in ensuring the efficient operation of the office. The position is integral in supporting both individuals and teams, helping them manage resources effectively. As a multifaceted administrative professional, you will be responsible for several key functions that will streamline processes and enhance productivity. Responsibilities

  • Coordinate and schedule meetings, appointments, and travel arrangements for managers.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Manage and maintain executives’ schedules, including calendar management.
  • Organize and facilitate meetings, including preparing agendas and materials.
  • Perform general office duties such as ordering supplies and managing office equipment.
  • Respond to inquiries and provide information on office practices and procedures.
  • Assist in the preparation of department reports, and maintain filing systems.
  • Conduct research and collect data to prepare documents for review and presentation.
  • Liaise with internal staff at all levels and external clients and stakeholders.
  • Handle incoming calls, emails, and postal correspondence efficiently and professionally.
  • Support project management by tracking progress and deadlines, ensuring task completion.
  • Ensure confidentiality and discretion when handling sensitive business information.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in Microsoft Office Suite and other relevant office software.
  • Strong organizational and multitasking skills, with an eye for detail.
  • Excellent verbal and written communication abilities are essential for this role.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Strong interpersonal skills to interact effectively with different stakeholders.
