Job Description

Our company is seeking an organized and proactive Administrative Assistant to join our team and support office operations. The ideal candidate will play a crucial role in ensuring the smooth functioning of our day-to-day activities. As an Administrative Assistant, you will be responsible for providing both clerical and administrative support, facilitating communication within our departments, and managing schedules and correspondence. Your role will be pivotal to the efficiency and productivity of our workplace. If you have excellent organizational skills, the ability to handle complex tasks efficiently, and a knack for precision and communication, we would love to hear from you.


Responsibilities

  • Manage and coordinate daily schedules and appointments for company executives.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Maintain and organize electronic and paper files efficiently and securely.
  • Facilitate communication between different departments and employees seamlessly.
  • Assist in planning and organizing company events and meetings as needed.
  • Screen and direct incoming calls with professionalism and accuracy.
  • Order and manage office supplies inventory, ensuring supplies are stocked.
  • Coordinate travel arrangements including flight and hotel bookings efficiently.
  • Conduct research and prepare reports as required for various projects.
  • Serve as the primary point-of-contact for external communication and inquiries.
  • Support the HR department in day-to-day operations and onboarding processes.
  • Handle sensitive information in a confidential and discrete manner at all times.

Requirements

  • Proven experience as an administrative assistant or office support role.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills, both verbal and written, are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • High attention to detail and problem-solving skills are required.
  • Ability to manage and prioritize multiple tasks in a fast-paced environment.
  • Minimum of a high school diploma or equivalent; additional qualifications are a plus.
