We are seeking a highly organized and responsible Administrative Assistant to join our team, playing an integral role in ensuring efficient office operations and providing support to our management team. Responsibilities

  • Manage daily administrative tasks including answering phones and emails promptly and courteously.
  • Organize and schedule meetings, conferences, and appointments in coordination with relevant stakeholders.
  • Maintain and update office records both physically and digitally to ensure easy retrieval and security.
  • Prepare and edit correspondence, reports, and presentations with attention to detail and accuracy.
  • Assist in office management and organization procedures, streamlining processes for better efficiency.
  • Coordinate travel arrangements, including booking flights, hotels, and car rentals as needed.
  • Monitor and manage office supplies inventory by checking stock and ordering necessary items timely.
  • Provide support in handling sensitive information and maintaining confidentiality at all times.
  • Assist in various project management tasks, ensuring timelines and deliverables are met efficiently.
  • Liaise with internal and external stakeholders to facilitate communication and project progress.
  • Support HR-related tasks, including scheduling interviews and assisting in onboarding new employees.
  • Receive and handle incoming mail, parcel deliveries, and distribute them to appropriate persons.

Requirements

  • Proven experience as an administrative assistant or office admin assistant.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint for daily tasks.
  • Excellent time management skills and the ability to prioritize work effectively.
  • Strong organizational skills with an ability to multitask under high-pressure environments.
  • Attention to detail and problem-solving skills in routine and project tasks.
  • Strong written and verbal communication skills to interact with diverse teams.
  • Ability to work independently and collaboratively with a team as needed.
