The Administration Executive - Leasing position is crucial for the efficient management and operational support of leasing activities within an organization. This role involves coordinating and managing the leasing administration and ensuring compliance with lease agreements. The successful candidate will be an organized, detail-oriented professional capable of handling multiple tasks with precision and clear communication. You will be working closely with both internal teams and external stakeholders, including landlords and tenants, to facilitate leasing processes and maintain accurate documentation. This role will require a comprehensive understanding of leasing processes, excellent negotiation skills, and a high level of customer service to ensure smooth operations and create positive relationships with all stakeholders involved.


Responsibilities

  • Coordinate and manage all leasing contracts and administration processes effectively.
  • Ensure accuracy and compliance of leasing documents in accordance with company standards.
  • Serve as the primary point of contact for lease inquiries and negotiations.
  • Maintain and update leasing records, databases, and related documentation efficiently.
  • Work closely with property managers and other stakeholders to resolve lease-related issues.
  • Prepare and present monthly leasing reports and performance analytics to management.
  • Assist in developing and implementing leasing strategies to maximize occupancy rates.
  • Handle lease renewals and ensure all deadlines are met and documented properly.
  • Manage and track leasing expenditures and budget in coordination with finance teams.
  • Support tenant relations and ensure high levels of customer service and satisfaction.
  • Analyze market trends and provide insights to support strategic leasing decisions.
  • Collaborate with legal teams to ensure adherence to leasing laws and regulations.

Requirements

  • Bachelor's degree in Business Administration, Real Estate, or a related field.
  • Minimum of 3-5 years of experience in leasing administration or property management.
  • Strong knowledge of leasing agreements and real estate market trends.
  • Excellent organizational skills and attention to detail in managing documentation.
  • Proven ability to communicate clearly and effectively with a variety of stakeholders.
  • Strong analytical skills with the ability to interpret leasing reports and data.
  • Proficiency in leasing or property management software and Microsoft Office Suite.
  • Capability to work independently and meet deadlines in a fast-paced environment.
  • High level of integrity and professionalism in handling confidential information.
  • Knowledge of relevant leasing laws, regulations, and compliance requirements.
