Job Description

The Administration Executive - Leasing is a pivotal role within the real estate and property management industry. The role primarily involves providing comprehensive administrative support to the leasing department to ensure efficient operations. This position requires someone who is highly organized, detail-oriented, and capable of managing various tasks simultaneously. The Administration Executive will be responsible for preparing leasing documents, maintaining records, assisting with tenant communications, and coordinating with other departments to facilitate property leasing processes. Responsibilities

  • Coordinate and prepare all necessary documents and agreements for leasing activities.
  • Maintain and update leasing records and databases with accuracy and attention to detail.
  • Assist in the preparation and review of leasing contracts and agreements.
  • Communicate effectively with potential tenants to provide leasing information and support.
  • Maintain professional relationships with tenants and address leasing inquiries promptly.
  • Coordinate with the property management team to ensure smooth tenant onboarding processes.
  • Schedule and organize meetings, appointments, and conferences related to leasing activities.
  • Collaborate with the marketing team to promote properties and generate leads for leasing.
  • Ensure compliance with all relevant legal and regulatory standards in leasing operations.
  • Generate periodic reports on leasing activity and track performance metrics.
  • Provide administrative support to leasing managers and other team members as required.
  • Handle confidential information with discretion and maintain data security protocols.

Requirements

  • Bachelor's degree in Business Administration, Real Estate, or related field preferred.
  • Minimum of two years' experience in administrative roles within the leasing industry.
  • Proficiency in Microsoft Office Suite and lease management software applications.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills for effective client interactions.
  • Knowledge of leasing laws, regulations, and best practices in real estate markets.
  • Ability to work independently and as part of a team in a dynamic environment.
