Job Description

The Administration Executive - Leasing role is pivotal in ensuring efficient leasing operations within the organization. This role involves assisting in the management of lease agreements, maintaining accurate and updated leasing records, and providing exceptional administrative support to the leasing department. The ideal candidate will have robust organizational skills, attention to detail, and an ability to handle multiple tasks concurrently. As the Administration Executive, you will interact with tenants, property managers, and internal teams to facilitate seamless leasing operations. Your role will require excellent communication skills, adept negotiation abilities, and a proactive approach to problem-solving to enhance tenant satisfaction and streamline lease processes.


Responsibilities

  • Assist in drafting, reviewing, and managing lease agreements and amendments.
  • Maintain accurate and updated records of all leasing documents and transactions.
  • Coordinate with leasing agents and property managers to ensure seamless operations.
  • Conduct market research to assist in setting competitive rental rates.
  • Act as a liaison between tenants and property management for lease-related queries.
  • Prepare regular reports and summaries for management on leasing activities.
  • Ensure compliance with relevant laws and regulations in lease agreements.
  • Assist in negotiating lease terms and conditions with potential tenants.
  • Manage lease renewals and terminations in a timely and organized manner.
  • Collaborate with internal teams to improve leasing processes and systems.
  • Organize and maintain leasing calendars and schedules for meetings and inspections.
  • Provide administrative support to the leasing department, handling emails and correspondence.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • At least two years of experience in a leasing or administrative role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and negotiation skills with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and property management software.
  • Ability to work independently and as part of a team effectively.
  • Knowledge of leasing terminology and property management procedures is beneficial.
