Job Description

An Administration Assistant (PRO) plays a critical role in providing effective administrative support and ensuring smooth business operations within an organization. As a vital member of the administrative team, the Administration Assistant is responsible for a broad range of tasks aimed at facilitating efficient office management and communication. This position involves managing both routine and complex administrative tasks, including correspondence, documentation, and stakeholder engagement. The role demands excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced office environment. The Administration Assistant (PRO) must also possess strong interpersonal skills to effectively liaise with clients, vendors, and various departments within the organization. In addition, this position may require handling sensitive information with discretion and professionalism.


Responsibilities

  • Coordinate daily administrative activities and provide support to the management team.
  • Prepare and manage correspondence, reports, and documents with accuracy.
  • Arrange and coordinate meetings, conferences, and travel itineraries as needed.
  • Maintain a well-organized filing system for easy document retrieval and management.
  • Act as a point of contact for internal and external clients, demonstrating professionalism.
  • Handle inquiries and requests, ensuring timely and appropriate responses.
  • Assist in the preparation of presentations, spreadsheets, and meeting minutes.
  • Ensure office supplies are maintained, anticipating needed supplies as required.
  • Support human resources tasks including record-keeping and processing documentation.
  • Monitor and manage budget and expenses for administrative projects and tasks.
  • Facilitate smooth communication between various departments and external partners.
  • Perform other related duties as assigned to support business operations.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Excellent written and verbal communication skills are essential.
  • Strong organizational and time-management skills are necessary for multitasking.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with a high level of discretion.
  • Demonstrated problem-solving skills and the ability to make decisions quickly.
